Enabling Portal Access and Permissions for Contractors and Suppliers

Give your contractors and suppliers access to their jobs, and control what each of their staff can see.

Giving your contractors and suppliers portal access lets them see their assigned jobs, tasks, schedule items and purchase orders, without you having to send them updates. You can also control what each of their staff members can see and do. This article covers enabling portal access and setting access permissions for each contact.

ℹ️ The contractor or supplier needs to be set up in JACK before you can give them portal access. See How to add a Supplier/Contractor.

Enabling Portal Access

  1. Navigate to Contacts.

  2. Click the Suppliers or Contractors tab.

  3. Select the supplier or contractor.

  4. Click the Supplier Contacts or Contractor Contacts tab.

  5. Select or create the contact you want to invite.

  6. Under Portal Access on the Details tab, click Enable Portal Access.

💡 You can also reach a contact from the supplier or contractor’s Details tab by scrolling down to Contacts.

ℹ️ The contact receives an email with a setup link to create their password and finish setting up their account. See How to Set Up My Supplier or Contractor Portal.

The Portal Access column on the Supplier Contacts or Contractor Contacts tab shows each contact’s current status:

  • Disabled: the contact doesn’t have portal access.

  • Invite Sent: the contact has been invited but hasn’t finished setting up their account. You can select them and click Resend Invitation to send the email again, or Revoke Portal Access to cancel the invitation.

  • Enabled: the contact has finished setting up their account and can log in. Select them and click Revoke Portal Access to remove their access.

Access Permissions

Access permissions control what each contact can see and do in their portal. For example, a contractor might want their staff to see job schedules but not purchase orders.

Each contact has one of two roles:

  • Admin: the contact has full access, and their permissions can’t be changed. They can also add and manage their own staff from their portal, including giving them portal access and setting their access permissions.

  • User: only Read under Jobs is ticked by default. You, or one of the contractor or supplier’s Admin contacts, can tick any other permissions they need.

ℹ️ Because Admin contacts can invite their own staff, it’s best to give this role to someone who manages the contractor or supplier’s team, such as the business owner or office manager. Any contacts they add appear on your Supplier Contacts or Contractor Contacts tab, and you can manage them the same way as any other contact, including revoking their portal access.

To set a contact’s permissions:

  1. Navigate to Contacts.

  2. Click the Suppliers or Contractors tab.

  3. Select the supplier or contractor.

  4. Click the Supplier Contacts or Contractor Contacts tab.

  5. Select the contact.

  6. Click the Access Permissions tab.

  7. Select Admin or User from the Role dropdown.

  8. If you selected User, tick the permissions the contact needs.

  9. Click Save Changes.

ℹ️ In Jobs, Dashboard and Safety, ticking the top Read box doesn’t tick the options below it, so tick each one the contact needs. Unticking the top Read box unticks everything below it.
