Automating with automation rules

Every day in JACK, your team handles the same small tasks. From following up a lead to logging that an invoice went out to chasing a variation for sign-off. In JACK, you don't need to remember these, as you can automate them.

Automations let you set up a rule once, so JACK does it for you from then on. This article covers where to find automations, how to build one, and where they tend to save the most time.

Overview

An automation has two parts: a trigger and an action. The trigger is the condition that must be met, for example, a lead remaining in a specific status for a set number of days.

The action is what JACK does once that condition is met, for example, sending an email, creating a document, or changing a status. Once a rule is enabled, it runs in the background without needing to be started manually.

Finding Automations

  1. On the main left menu, click Automations.

  2. In the top right, click + Automation.

  3. Tick Enable to activate the automation. Untick it to pause an automation without deleting it.

Setting the Trigger and Action

A trigger can relate to almost anything happening across JACK. A common example is a lead sitting in New Lead status for 30 days.

  1. Set the trigger: the condition that starts the automation.

  2. Choose the action JACK should take, such as Send Email.

  3. If sending an email, insert tokens such as {client_email} and {client_name} so JACK automatically pulls the correct details for each lead.

  4. Click Save and Close to save.

To Disable a Trigger and Action

You can disable an automation by selecting it and unchecking the Enable option. Then click Save and Close.

This will now show in the list as disabled.

💡 Disabling an automation with the Enable checkbox keeps the setup in place, so you can switch it back on later without rebuilding it.

Automations documented in JACK currently cover:

  • Lead status changes

  • Estimate status changes

  • Document events (created, sent, signed)

  • Payment events (created, made)

  • Client status changes

Check That Your Automations Have Been Sent

Every email automation sent also appears in the Comms Log, under the Automations tab, so you can confirm it went out and see who received it.

ℹ️ This is the quickest way to check whether an automation actually fired, without needing to dig through individual leads or jobs.
