Connect JACK to Zapier to Capture Leads Automatically

Connect JACK to Zapier so leads from your website forms, Facebook ads, Google Forms and CRM flow straight into your JACK sales pipeline.

Overview

Already collecting leads through your website, Facebook, Google Forms or another system? With the JACK Zapier integration, those leads land in your JACK sales pipeline automatically, with no manual data entry. If a lead matches an existing client in JACK, it’s matched to that client, so you won’t end up with duplicates.

Before you start

  • Have a Zapier account. You can create one during setup if you don’t have one yet. Zapier offers a 14-day free trial, so you can try the integration before you sign up for a Zapier subscription.

  • Know your JACK subdomain. You’ll need it to connect your JACK account in Zapier. It’s in your JACK URL and looks like this: COMPANYNAME.us-app.jackapp.io or COMPANYNAME.app.jackapp.io

  • Decide where Zapier leads should land. You’ll choose a default pipeline stage and project type for incoming leads.

💡Create a custom pipeline stage (for example, “Website Leads” or “Zapier Leads”) and a custom project type before you start. Every Zapier lead then lands in one place, so your team knows exactly where it came from.

Step 1: Set your lead defaults in JACK

JACK needs to know where to put new leads before Zapier can create them. You can set these before, during or after connecting, but doing it first means your Zap test will work the first time.

  1. In JACK, go to Settings in the left-hand menu, then open API Integrations.

  2. On the Zapier card, click Settings.

  3. Choose a Default Pipeline Stage and a Default Project Type.

  4. Save your changes.

Step 2: Accept the Zapier invite from JACK

  1. In Settings > API Integrations, click Connect on the Zapier card.

  2. In the Connect to Zapier window, click Continue to Zapier. Zapier opens in a new tab.

  3. Log in to your Zapier account, or create a new one.

  4. On the invite page, click Accept Invite & Build a Zap.

ℹ️ At this point you’re halfway connected. The connection is complete once you connect your JACK account inside your Zap in Step 3.

Step 3: Build your Zap

⚠️ Zapier allows you to connect to a variety of different sources to funnel your leads from, while JACK provides you with the connector to Zapier, for specific details on how to set up integrations like Facebook, Gmail, etc., refer to the Zapier website.

A Zap is an automated workflow with two parts:

  • Trigger: The app where your leads come in (for example, Google Forms, Facebook Lead Ads or your website form).

  • Action: What happens in JACK. In this case, creating a new lead.

Every business collects leads differently, so your Zap setup will depend on the tools you use. The example below uses Google Forms to show how it works.

ℹ️ For more information on creating Zaps, refer to Zapier's help articles: Getting started with Zapier

Set up the trigger

  1. In the Zap editor, click Trigger and search for your lead source app (for example, Google Forms).

  2. Choose the Trigger event. For Google Forms, choose New Form Response.

  3. Connect your account for that app (for example, your Google account) if you haven’t already.

  4. Select the form you want to pull leads from.

  5. Click Test trigger. Zapier looks for a recent form submission. Choose one to use as sample data.

💡Submit a test entry on your form before this step so Zapier has a response to work with.

Set up the action to  JACK

  1. Click Action and search for JACK.

  2. For the Action event, choose Create Lead.

  3. Under Account, click to connect your JACK account.

  4. Enter your JACK subdomain and click to connect.

  5. Confirm the connection when prompted, then click Continue.

Map your fields and test

  1. Match each field from your form to the right field in JACK (for example, first name, last name, email, phone etc.).

  2. Click Continue, then click Test step. Zapier sends your sample response to JACK.

💡If your form has fields that don’t have a matching JACK field, you can add them to the Project Description field in Zapier so the information still comes through with the lead.

Step 4: Check for your lead in JACK

In JACK, go to Leads and open the status you set as your default pipeline stage in Step 1. Your test lead will be there with the details from your form.

That’s it! You’re connected and ready to finish setting up your Zap in Zapier to fit how your business collects leads.

⚠️ If the Zapier card shows Action needed with the message “Leads from Zapier can’t be created until you choose a default pipeline stage and project type,” your connection is working, but your defaults are missing. Leads won’t come into JACK and your Zap test will show an error until you set them.

If you see this error in Zapier:
