Creating RFQs
The Request For Quotes feature allows you to send out multiple quote requests to your suppliers and contractors. This assists with tracking due dates, pricing, and quote acceptance. If you commonly use the same suppliers/quotes during the estimating process, the RFQ can be saved as a template.
You have two options to create a request for a quote. Firstly, navigate to your Estimate > Costings, select your cost items, and click 
. Alternatively, you can navigate to Estimates > Select the Estimate > Request for Quotes and click 
 to open the pop-up menu. Once you have entered the name of the RFQ, the nominated receiver, and the due date, click 
.
ℹ️ This due date will appear in the RFQ email message sent to the contractor/supplier.
Once you have clicked Create RFQ, a new page will appear where you can review and confirm all the necessary details before sending it to your supplier/contractor.
Edit the email message that will be sent with your RFQ to personalise your communication. You can also set a default message in your estimate template and use Tokens to prefill relevant details and existing information.
Now select the Quote Items from the dropdown menu; these are populated from your estimate. If you have already selected your cost items from the estimate, they will already populate. You can choose to add/delete items here.
Select the Contractor / Supplier to send the quotes to via the dropdown. You can add multiple suppliers/contractors and additional email addresses.
💡If you would like to receive a copy of your RFQ for reference, you can include your company email address in this section.
Attach Takeoffs, Specifications, Documents, and send your RFQ

To customise your RFQ documentation, tick 
 Include plans and takeoffs to select the specific pages. A side menu will appear, allowing you to select which takeoff to display and which pages to include by ticking the boxes.
This helps you share only the details your subcontractors or suppliers need.
In the Include Takeoffs section, simply select which takeoffs you’d like to include in the RFQ.
In the Project Documentation section, you can also choose to include your Project Specifications as a PDF by selecting the tick box provided.
Once selected, you’ll have the option to choose which specifications to share. You can also preview the document before sending it to ensure all the correct details are included.
Select all or choose each specification to supply the contractors with for the RFQ and click Save.
Other Attachments
To include attachments in your Request for Quote, either drag and drop the files into the attachments box or click browse, and select files to upload. Once you have completed this step, you can choose to Save your RFQ or Send it off to your supplier/contractor.
Receive and Accept Quote(s)
The nominated user's email will receive responses to your RFQs. When a Quote is returned, navigate to Estimates > Request for Quotes to view the RFQ you want to process from your supplier/contractor.
Under Contractor / Supplier Responses, select the contractor/supplier that you want to record a response against.
Record the contractor/supplier response by entering the Quantity (Qty), Unit of Measurement (UOM), and the Price for each quoted item.
Click Save to update this information. If you have already received a quote response, click 
. A pop-up will appear to remind you that approving the quote will update the pricing in the estimate.
ℹ️You can Revert Quote Approval if you have approved the wrong quote and then approve another quote to overrule the existing quote.
How your Estimate will look after an RFQ has been accepted
After approving the quote, JACK App will automatically:
Assign pricing for all items from the approved quote to your estimate costings
Lock these Cost Items as they are now linked to the RFQ
Assign the contractor to the corresponding line items (this is useful for our Auto Purchase Order feature)
