How to manage your project from lead creation to job completion in JACK

Step 1: Create a New Lead

  1. In the left-hand menu, go to Sales > 

  2. Upload your project plans by navigating to Files from the top toolbar.

Step 2: Begin Estimating

  1. Navigate to Estimates > 

  2. Create from a Template (If no template exists, refer to this article)

  3. Adjust the Global Markup as required

Takeoffs

  • Click the Quantity field → select the Ruler icon

  • Click Add File → upload your plans and set the scale

Specification Boxes

  • The four boxes within the Estimate reflect what appears in the Client Proposal - they do not impact the quote pricing (if no boxes are highlighted, then this line will not show in the Client Proposal)

Editing Line Items

To delete, request a quote, or perform other actions:

  • Tick the checkbox beside the line item – if you want to delete an entire Cost Category, open the cost category and select the Rubbish Bin icon on far right under the Cost Category line.

  • Select the desired option from the bottom-right menu

Assign Contractors and Suppliers

  • Add contractors or suppliers using the Assignee bubbles at the end of the description in line items - This enables Auto Purchase Order (PO) generation once the project moves into Jobs

Catalogues

  • Quickly add line items and/or assemblies from imported Catalogues

Step 3: Create a Proposal for the Client

1. Open the Estimate

2. Click Create Proposal, top right

3. Select a Document Template if applicable

4. Use the right-hand toolbar to populate details (e.g., client info, pricing, etc)

Step 4: Move the Lead to Jobs

Once your Estimate is complete and the proposal signed, move your project to the Jobs stage:

1. Select the relevant Estimate (non-selected estimate versions will be archived, but can be templated for future use) 

2. Click  to create

3. Choose a Job Template if applicable

Step 5: Manage the Job

Tasks

  • Populate tasks within the job

  • These can be preloaded into a Job Template to auto-populate for future projects

Job Financials

Manage:

  • Budgets

  • Variations

  • Purchase Orders

  • Supplier Bills

  • Client Invoices

  • Cashflow

Project Management

Oversee your Build Schedule and switch between views:

  • List

  • Calendar

  • Planner

  • Gantt

Gantt View Options:

  • Enable Auto Link Schedule Items to move dependent items automatically

  • Toggle Schedule Visible/Hidden to control assignee notifications

Timesheets

  • On the left toolbar, select Timesheets to monitor, approve and sync with Xero for payroll

You’re done!

Your project has successfully progressed from Lead to Job, and you can now continue managing scheduling, financials and communications directly within JACK.
