Creating an Estimate Template

Streamline Your Workflow by Creating Accurate Estimate Templates

Overview

Navigate to Templates > Estimate Templates. Click on  to open a pop-up. Name the template (single-storey, double-storey) and select or add the Project Type. Click  to create. 

Adjust the Settings in Your Estimate Template

When you open an Estimate Template, it defaults to the Costings section. Click the Details Tab to review and configure your template settings.

1. Template Indicator
This indicator confirms you are working in a template, not a specific estimate or lead.

2. Template Status
This setting determines whether your template can be used. Publish the template to make it available for new estimates. Unpublished templates will not appear when creating estimates.

3. Estimate Versions
Use versions to track alternative estimates that aren’t part of a template. This helps manage different client options while keeping your templates intact.

4. Description
Utilise this section for notes or communication for yourself or the team. ​I.e., Standard price for timber frames with gold specifications, adjust the footings allowance.

5. Markup Management on Allowances
Decide how allowance markups are applied:

  • Distribute over non-allowance items: The allowance itself won’t show markup on the quote; the markup is spread across other items but included in the total price.

  • Do not distribute allowance markup: The markup is added directly to the allowance and will display on the quote.

6. Save Changes
Save your updates to ensure the template reflects your settings.

Add your Costings

Navigate to the Costings Tab to start building out your estimate. Click  and select the Cost Categories or Groups you want to include in your template.

ℹ️ If there are no Cost Categories available, navigate to Settings > Data Setup > Cost Categories to enter your data.

Once you have added your Cost Groups and Categories, click  to add a new Cost Item within each category.

💡We recommend using catalogue items or assemblies, as any price updates made in the catalogue will automatically flow through to your estimates.

Specifications

You can use Specifications to choose how each cost item will appear on your proposal. Select Included (Inc), Excluded (Ex), Note, or Allowance, depending on how you want the item displayed.

Checklist

You can create a checklist for each Cost Category. This helps estimators or sales staff track items as they progress through the quotation process.

Cost Options

Cost options are options provided to the customer to approve or decline, such as an upgrade. For example, an upgrade to floor-to-ceiling tiles or adding a landscaping package.

Request for Quotes (RFQs)

You can add regularly quoted RFQs to your templates as part of your estimating process. For example, structural steel or A/C installation.

Managing Specification Display in Proposals

Cost items are displayed on a specification document based on the selected display option.

To set a Specification Template, navigate to Templates > Estimate Templates > select the relevant estimateSpecifications Tab.

⚠️ If no option is selected, the cost item won't be displayed in the specifications. This can be used to record details for internal use only.

Click on the Cost Category to view line items and use the = symbol to drag each Cost Category or Item up/down and set them in the desired order. You have the option to click  to reset the specification orders to the default ordering defined by the costings.

Click on the square to upload a photo of the cost item (or add those directly in your catalogue for better consistency).


​Once you have completed your first template, you can duplicate it to save time on the next one, and adjust and rename the copy as needed.
