Timesheets: Setting Up Payroll Periods and Staff Wages

Get timesheets ready to track labour costs on jobs, bill time on Cost-Plus jobs and send employee hours to QuickBooks or Xero payroll.

ℹ️ You can sync timesheets to Xero or QuickBooks for payroll or keep them in JACK only. The steps are the same either way. Where they differ, we've called it out.

Before you start

1. Set your payroll period

Timesheets in JACK are grouped by payroll period. Set this to match your payroll in Xero or QuickBooks.

  1. Go to Settings > Payroll.

  2. Choose the start day and frequency, for example starting on a Tuesday or issuing Fortnightly.

  3. Click Save.

2. Set up staff wages and prepare to sync with your accounting software

  1. Go to Contacts > Staff and choose the staff member.

  2. On the Details tab, find the QuickBooks/Xero Employee field, click Refresh Payroll, then select the matching employee. (Accounting sync only)

  3. Click +Add Hourly Cost to set the staff member's hourly cost.

ℹ️ The hourly cost is what the job budget is charged. It should be what the employee's time costs you. It is not linked to their pay rate in your payroll software.

3. Set charge-out rates (Cost-Plus jobs)

  1. On the staff member's profile, open the Charge Out Rates tab along the top.

  2. Fill in the rates and set a Default Charge Out Rate.

  3. Click Save.

💡 For Cost-Plus job timesheets, markup is added on top of the charge-out rate.
