Using Project Templates and Standard Durations helps you standardise folder structures and project timeframes for each project type to suit your business.
To automatically create a set of folders when a new lead is created, navigate to Settings > Data Setup > Project Types.
Click the ✏️ icon next to the project type to open a side drawer. You can edit the project type's name and the standard project duration (in months).
ℹ️ Changing the standard project duration will change how the cash flow forecast is calculated.
Finally, to create the default folder structure, which is automatically created when a lead is created, click the + Folder button and enter the folder name. You can create and save multiple folders, and create subfolders within folders.
When to Use Project Types
When creating a new lead, apply your selected Project Type to the lead, and the folder structure for that type will be applied.
Click on
. The Add Lead drawer will open, where you can enter project-specific details, including the Project Type and a client to link the lead to.
⚠️ Folder creation happens only once, at the moment a lead is created. Selecting or changing the project type on an estimate, or updating the folder structure in Data Setup afterwards, will not apply retroactively to existing leads or jobs. To add folders to a lead or job that already exists, do so directly from its Files tab.
Below is an example of a Single Storey Project Type applied to a new lead, showing the folder structure used, with an expected duration of 10 months.
You can create as many project types as you need; return to Settings > Data Setup > Project Types and repeat the process with a new, unique name.
