Set up safety compliance requirements and manage induction requests for on-site use

Safety Induction Requirements

To set up your Compliance Requirements, navigate to Settings > Settings and Compliance > Safety Induction requirements and click to build your document form. Start by entering a heading for your document, e.g., White Card, and proceed to select either Yes or No for the questions below:

  • Is this compliance form required for induction?

  • Is there an expiry date for this document?

  • Does this document require a signature?

Use the tick boxes to select the Type of user that applies to this compliance form.

ℹ️ A Safety User is someone who scans the QR code to access JACK but isn’t already in your database. JACK automatically captures the details they submit, adds them to your Safety Users list, and lets you create a saved contact from that information.

Click Next to customise the information you want displayed on your form. Use the individual Show buttons to toggle each section on or off. You can also add a File Upload section and include any extra details in the Additional Requirements field.

Click Next to set your communication preferences for the compliance document. Select when you want to notify the recipient, choose the recipient, set the time frame for sending the notification, and then click Save to complete the setup.

💡The live preview will change as you update your responses.

Supplier & Contractor Compliance

To create a new Compliance Form, navigate to Settings > Supplier & Contractor Compliance and click . This form builder follows a similar workflow to the Induction Requirements. However, these forms can link to a direct supplier or contractor, streamlining the request process. You will need to select a response to the questions below:

  • Show an alert when approving a bill from this company if this document has not been provided?

  • Is there an expiry date for this document?

  • Does this document require a signature?

Click Next to set your requirements. Use the Show buttons to toggle each requirement on or off, and add anything else in Additional Requirements.

Click Next again to choose your Compliance Communication Preferences based on the document’s expiry date. Tick the boxes to select who should be notified and set the Notification Timeline (e.g., one month prior). Click Save to complete the setup.

💡Repeat this process for all required compliance forms.
